Use booking deposits and collect balances
Set up a deposit on Basic, see what the buyer pays, and settle the remaining balance.
- 1
Enable a deposit on a session
On the session’s page, turn on Take a deposit under Price and choose a percentage or a fixed amount. Deposits are a Basic feature; Free accounts see an upgrade prompt instead of an enabled control.
Open Store - 2
Understand the buyer charge
At booking, the buyer pays the deposit and Kwudo records the remaining amount as an outstanding balance. The payment method is saved through Stripe for a possible later balance charge.
- 3
Find outstanding balances
Open Sales › Orders. When balances are due, a line above the list says how many and how much; choose Show to list them. Each is marked Balance due.
Open Sales - 4
Settle the balance
In the order’s details, use Charge balance to bill the saved card, or Mark paid externally after receiving cash or a bank transfer. Marking it paid externally records settlement without making a Stripe charge.
- 5
Apply the cancellation terms
When a buyer cancels, their deposit stays with the seller. When the seller cancels, the buyer is refunded in full, including the deposit.
Good to know
- Never mark a balance paid externally before you have actually received it.
- A failed off-session card charge leaves the balance outstanding so you can retry or arrange another payment method.
